Welcome to www.comfyrelo.com (“Site”), which is a website service provided and operated by ComfyRelo LTD (‘we’, ‘our’ or ’us’ as applicable). 

 

By using our Site or making a booking, you confirm that you accept these Terms and that you agree to comply with them. If you do not wish to be bound by what you read, you should not access, use or make a booking via the ComfyRelo site. For our contact details please see section 15 below.

1. INTRODUCTION
These Booking Terms and Conditions ("Booking T&Cs") govern the relationship between you (the "Customer") and ComfyRelo LTD, a UK-based relocation and accommodation service provider. 
ComfyRelo facilitates bookings for student and residential accommodation primarily via email communications. The website www.comfyrelo.com is for information display purposes only and does not facilitate direct bookings. 
ComfyRelo LTD offers two categories of services: Category A: For certain properties, we act solely as a
service provider. The customer signs a tenancy agreement directly with the landlord or letting agent, and ComfyRelo provides a Residential Service Package for support before and during the tenancy. 
Category B: For other properties, ComfyRelo acts as Licensor and enters into a License to Occupy agreement directly with the customer. By initiating a booking request with ComfyRelo via email, you agree to be bound by these Booking T&Cs and, where applicable, a separate contractual agreement (either a service agreement or a license agreement with ComfyRelo LTD). 


2. BOOKING PROCESS AND AGREEMENT TYPE
2.1 Eligibility requirements
To be eligible to make a booking through ComfyRelo LTD
(referred to as “we”, “our” or “ComfyRelo”), you must:
(a) be at least 17 years of age;
(b) have been accepted into, or be in the process of applying to, an educational institution in the United Kingdom for the duration of the accommodation period (you must provide documentary evidence upon request);
(c) not appear on any sanctions list issued or administered by the UK’s Office of Financial Sanctions Implementation (OFSI), the US Office of Foreign Assets Control (OFAC), the European Union (EU), the United Nations (UN), or any other relevant jurisdiction (collectively, “Sanctions List”);
(d) be able to demonstrate your compliance with these Booking Terms and the Accommodation Agreement if requested;
(e) provide your full legal name, current or last known residential address (if not currently studying), a valid email address, phone number, and other relevant details as requested during the booking process.
2.2 Booking Procedure
Upon receiving your inquiry via email:
2.2.1
We will provide property options based on your requirements;
2.2.2
We will specify whether the property falls under Category A (service only) or Category B (license agreement with us);
2.2.3
You will receive relevant agreement drafts (either a Tenancy Agreement from the landlord or a License to Occupy from ComfyRelo);
2.2.4
You must sign and return the agreement and make any required payments to secure the booking. 
2.2.5
We will verify your eligibility (including confirming that neither you nor any named co-occupants appear on any Sanctions List). 
2.3 Booking Confirmation
A booking is only confirmed upon:
a. Signed agreement returned (License or Service Agreement), and
b. Advance Payment or Holding Deposit received. Once your booking is confirmed, you will receive a confirmation email from us, along with a receipt for any payments made. 
2.4 Joint Bookings
You may include one or more additional occupants in your booking request. If you do:
(a) you confirm that the additional resident(s) meet all eligibility requirements under this Section;
(b) you confirm you have obtained consent from each additional resident to share their personal details with ComfyRelo and the relevant Building Owner;
(c) you have authority to enter into the Accommodation Agreement on behalf of the joint resident(s), who will be equally bound by its terms. For clarity, joint residents will be jointly and severally responsible under the Accommodation Agreement. 
2.5 Agreement and Recordkeeping 
All booking arrangements and documents are exchanged via email. Please ensure you retain copies of all communication, signed agreements, and payment receipts.

 

3. ADVANCE PAYMENT ANY SECURITY DEPOSIT
Where ComfyRelo is not the landlord (Category A), your deposit and rent are paid directly to the landlord or agent. Where ComfyRelo is the Licensor (Category B), payments are made to ComfyRelo, in accordance with the License Agreement. 
3.1 Unless otherwise stated in writing, any advance payment made to confirm a booking (“Advance Payment”) is non-refundable and non-transferable once your cancellation period, as outlined in Section 6, has expired. 
3.2 Unless your booking is validly cancelled in accordance with Section 6, the Advance Payment will be transferred to the applicable Building Owner on or shortly after the agreed start date of the occupation period, in accordance with the relevant Agreement. 

 

4. ACCOMMODATION FEE PAYMENT OPTIONS
4.1 You will be offered payment options during the booking process. These options may affect the structure of your Accommodation Agreement. Please review them carefully prior to confirming your booking. 
4.2 You may request to change your selected payment option before the start of your occupation period, without
charge, provided your request is made during the applicable cancellation period (see Section 6). 
4.3 If you request to change your payment method after the cancellation period but before the start of your occupation, we may allow this at our sole discretion and may apply an administration fee of £250.
4.4 All such requests should be made in writing via email using the contact details provided in Section 15. 
4.5 Please ensure that you retain a copy of any signed agreements and written confirmations exchanged via email. 

 

5. ACCOMMODATION
5.1 Details of available accommodation options, including pricing and availability, will be provided to you by ComfyRelo LTD in response to your booking inquiry. 
5.2 Descriptions of each accommodation will include, rental rates, occupancy types, and general information about facilities or views (if relevant). 
5.3 Descriptions of views, furnishings, and room layouts are provided as guidance only and are not guaranteed. Variations may occur. 


6. CANCELLING YOUR BOOKING
6.1 Your Right to Cancel 
You may cancel your booking and the related Accommodation Agreement without penalty in the following circumstances:
6.1.1
If your booking confirmation email is received before 28th May in the year your occupation period begins, you may
cancel within five (5) calendar days of receipt by providing notice in writing (email is sufficient). 
6.1.2
If your booking confirmation is received on or after 28th May, you may cancel within twenty-four (24) hours of receiving the confirmation, again by written notice.
6.2 If you cancel within these timeframes, we will refund the full amount of the Advance Payment to your original payment method within twenty-eight (28) days of receiving your cancellation notice. 
6.3 Conditional Cancellation Rights
You may also be eligible to cancel your booking if one of the following applies:
6.3.1
You are denied a UK student visa (not due to your own delay or error), and you provide evidence of this at the time you submit your cancellation notice no later than 1st July 2025;
6.4 Conditions for Cancellations under 6.3
Your cancellation rights under Section 6.3 only apply if:
(a) You have not previously submitted a cancellation request under your Licence Agreement that was declined;
(b) The occupation period has not started and you have not yet moved in;
(c) You notify us in writing within 48 hours of becoming aware of the reason for cancellation; and
(d) All payments up to that point have been made on time. 
6.5 We will not accept cancellations if none of the situations listed in Sections 6.1–6.3 apply. This includes choosing not to occupy the accommodation for personal reasons. 
6.6 If you knowingly enter into an Agreement without valid student status, you will be in breach of the terms and may
remain liable for full payment. 
6.7 Where none of the above cancellation rights apply, the cancellation terms of the signed Agreement will govern your options. 
6.8 We reserve the right to determine whether a cancellation request meets the conditions above, and our decision shall be final. 
6.9 Reletting or Replacement
If you choose not to occupy your room but do not qualify for cancellation, we do not guarantee that we can help you find a replacement tenant. Other vacant properties may be advertised first. If we do assist, it will be limited to passing along your room details and managing the legal process for the new tenant, at our discretion. 
6.10 All cancellation requests must be made in writing and sent by email to david.ho@comfyrelo.com or by post using the contact details in Section 15. 
6.11 Our Right to Cancel
We may cancel your booking or the related
Accommodation Agreement at any time if:
(a) You have previously breached a ComfyRelo-related tenancy;
(b) You breach any term of these Booking Terms & Conditions;
(c) You or your joint occupant fail to meet eligibility requirements;
(d) You fail to complete booking steps or make required payments before your occupation begins.
6.12 We will notify you in writing of any cancellation made by us, along with the reason. 
6.13 Cancellations under this section will apply to all listed joint residents in the booking. 

 

7. TERMINATION OF YOUR REGISTRATION AND DORMANT BOOKINGS
7.1 We reserve the right to terminate or suspend your access to our services or decline to process future bookings if we believe that you have breached these Terms & Conditions, or if there is evidence of fraudulent, misleading, or harmful behaviour. 
7.2 If no communication or action is taken regarding a pending booking for a period exceeding 30 calendar days, we reserve the right to consider the booking inquiry inactive and may remove or archive the relevant correspondence. You may reinitiate the booking process at any time by contacting us again. 

 

8. YOUR PRIVACY AND OUR USE OF DATA
8.1 We are committed to protecting your privacy. Your personal information will only be used in accordance with our Privacy Policy, which is available upon request or can be found at
https://comfyrelo.com/privacy (if applicable).

8.2 As an email-based service, we do not use cookies or collect browser-based data. Any personal data you provide will be handled securely and only shared with third parties (such as Building Owners) as required to facilitate your booking. 

 

9. THIRD PARTY SOFTWARE
9.1 If we provide links to third-party payment systems, contract signing tools, or external portals as part of the booking process, you may be required to accept their terms of use separately.
9.2 We are not responsible for the performance, reliability, or availability of such third-party platforms and tools. 

 

10. PROMISES, LIABILITY AND DISCLAIMER
10.1 We will perform our services with reasonable skill and care. However, we do not guarantee the availability of any particular accommodation or the acceptance of your booking by any Building Owner. 
10.2 We are not liable for:
(a) the performance or conduct of any Building Owner;
(b) any inaccuracy in accommodation descriptions provided by third parties;
(c) losses resulting from any delays or failures beyond our reasonable control, including force majeure events;
(d) any loss of profit, opportunity, goodwill, or business arising out of or in connection with the use of our service.
10.3 Images, floor plans, and promotional materials are illustrative and provided in good faith, but they are not
contractually binding. Final room allocation and furnishing may differ. 
10.4 Nothing in these Terms limits our liability for death or personal injury caused by our negligence or for fraud. 
10.5 You may have statutory rights as a consumer. These Terms do not override your legal rights. For more information, contact your local Citizens Advice Bureau or Trading Standards. 


11. INDEMNITY
11.1 You agree to indemnify ComfyRelo LTD and any Building Owner we represent against any loss, cost, damage, or legal fees incurred due to:
(a) any breach of these Terms by you or any joint resident included in your booking;
(b) your failure to provide necessary documentation, such as council tax exemption certificates if required;
(c) your failure to notify us of a change in student status. 


12. OTHER IMPORTANT TERMS
12.1 Council Tax and Student Status
If required, you must provide a valid council tax exemption certificate within 48 hours of our request. If you cease to be
a student at any time before or during the occupation period, you must inform us immediately. 
12.2 Written Communications
You agree that we may contact you via email and that all such communications satisfy any legal requirement to be in writing. 
12.3 Severability
If any part of these Terms is found to be unenforceable, the remaining sections will remain valid and enforceable.
12.4 Entire Agreement
These Booking Terms and the Agreement (when signed) represent the entire agreement between you and ComfyRelo. 
12.5 Conflicts
If there is a conflict between these Terms and the signed Agreement, the terms of the Agreement shall take precedence. 
12.6 Non-Limiting Examples
Where phrases such as “including” or “for example” appear, they are not to be interpreted as limiting the scope of the clause.
12.7 Assignment
You may not transfer or assign your rights under these Terms without our prior written consent.
12.8 Waiver
If we do not enforce any part of these Terms, it does not mean we waive our right to do so in future instances. 
12.9 Third-Party Rights 
Only the Building Owner may enforce certain provisions of these Terms under the Contracts (Rights of Third Parties) Act 1999. No other third party shall have any rights under them. 
12.10 Governing Law and Jurisdiction
These Terms are governed by the laws of England and Wales. Any disputes will be subject to mediation in accordance with the CEDR Mediation Rules. If unresolved, disputes shall be settled exclusively in the courts of England and Wales. 

 

13. CHANGES TO THESE BOOKING TERMS
13.1 We may revise these Terms at any time. Any updated version will be provided via email or posted on our website. Changes will not apply to bookings already confirmed prior to the date of the update. 
13.2 By continuing to use our services after being notified of changes, you accept the revised Terms.
